Record the before inventory by actual piece.
Give retained chairs and sofas identifiers and note their current rooms, dimensions and available model information. Photograph the pieces and mark whether each is being retained, replaced or still reviewed. Do not treat a room’s general chair count as a confirmed inventory. A specific piece should have one current location before the team considers its next assignment.

Review a retained chair at its proposed destination.
Compare the existing chair’s actual dimensions with the destination group and the furniture that remains there. Record the proposed move and who will review it. If the choice is unresolved, keep the piece outside the confirmed retained subtotal. Use the same dimensional process when comparing a new lounge-chair option intended to fill the remaining gap.

Write the after ledger before combining quantities.
For each furniture identifier, record current room, proposed destination, review status and the date of the decision. Give every confirmed retained piece one destination. If a move is accepted, remove it from the old room’s retained subtotal before adding it to the new room. Keep an unresolved reassignment as an open line instead of counting it in both places.

Reconcile sofas as their own category.
Assign each retained sofa to its reviewed group using its actual footprint and configuration. Record proposed sofa moves separately from chair reassignments. Calculate any new sofa pieces needed after those decisions are confirmed. A surplus chair does not subtract from a sofa-piece requirement, and sofa quantities do not establish the intended occupancy of the room.

05 / Your furniture plan
Calculate the new pieces room by room.
Use the reviewed target arrangement minus the confirmed retained assignment within each category. For an illustration, group A needs four chairs and one sofa and receives two retained chairs and one retained sofa. Group B needs four chairs and receives one confirmed retained chair. A second possible chair for B remains unresolved, so it is not subtracted from the new request yet.

06 / Your furniture plan
Update the inquiry when a reassignment is resolved.
The illustrative ledger initially requests two new chairs for A and three for B, with no new sofa. If the unresolved chair is later accepted for B, revise only B’s new-chair line from three to two and date the change. Send the Missouri location, current ledger and affected model choices with the inquiry. Keep sample and receiving questions attached to the actual new lines rather than reopening unrelated retained assignments.

The preliminary request is five new lounge-chair pieces and no new sofa. A retained sofa is already assigned to group A. If the pending chair for group B is accepted, its new-chair line changes from three to two, reducing the total to four; update the ledger rather than counting the pending piece early.
